How to fill it in

Your siding receipt in four steps

    Add your details

    Put in your business name, phone, email and license number once, and save the file as your master copy.

    Name what it pays

    Write the number of the invoice or quote the payment is for, and whether it’s a deposit, a progress payment or the final payment.

  3. 3

    List what it covers

    Keep the lines the payment covers, with the quantities in square feet and linear feet and the prices from the invoice, and delete the rest.

  4. 4

    Record the payment

    Fill in the date paid, how the client paid with the check number or reference, and any balance still owed. Save it as a PDF and send it.

How siding jobs get paid

Siding jobs often start with a deposit that pays for the material order. Because colored and special-order products usually can’t go back, the deposit receipt should name the product, profile and color it paid for. That protects you both if the client wants a different color after the order is placed.

On larger jobs, a progress payment after tear-off and house wrap gets its own receipt naming that stage. If sheathing beyond the allowance was approved, write the change on the receipt that pays for it, with the extra square feet, so it matches the change order.

Storm damage often brings insurance into the payment. A claim may be paid in more than one check, and some checks name both the homeowner and their lender. Write a receipt for each payment, name who paid it and add the claim number. The client may need those receipts to collect the rest of the claim, and they’re the record of what the work cost.

02How do I show a deposit or a partial payment?
Keep the lines the payment covers and write the amount received as the total paid. Under Payment details, say it’s a deposit or a progress payment and write the balance still owed. In the Excel version, the amounts, the tax and the total paid calculate themselves.

04How do I write a receipt when insurance is paying for the siding?
Write a receipt for each payment as it arrives, whether it comes from the insurer, the homeowner or both. Name who paid, the check number and the claim number, and record the balance still owed. Insurers may ask for proof of payment before releasing the rest of a claim.
05Why put the color and profile on a siding receipt?
Because the client will need it to match a damaged panel later, and a receipt is the paper they’re most likely to keep. Adding the product, profile and color to the final receipt also gives them what a warranty registration may ask for.
06What goes on a receipt for a special-order deposit?
The quote it pays, the amount received and that it’s a deposit for material. Name the product, profile and color ordered and note that special-order material can’t be returned. Put the remaining balance and when it’s due under Payment details.
