How to fill it in

    Write the number of the invoice or quote the payment is for, and whether it’s a deposit, a progress payment or the final payment.

    Keep the lines the payment covers, with the quantities in square feet, linear feet and each and the prices from the invoice, and delete the rest.

    Record the payment

    Fill in the date paid, how the client paid with the check number or reference, and any balance still owed. Save it as a PDF and send it.

How deck and fence jobs get paid

Deck and fence jobs are often paid with a deposit to order lumber or composite and the balance on completion. Have the deposit receipt name the material order it pays for, so if plans change later, both sides know what was already bought.

On a deck with inspections, a progress payment after the footings and framing pass gets its own receipt naming the stage. Fences are sometimes shared with a neighbor who pays part of the cost. Write a separate receipt to each person who pays, naming their share and the stretch of fence it covers, so neither has to rely on the other’s records.

Keep the final receipt specific: the deck area or fence length, the material, the number of gates and the warranty. Homeowners may need it for an association that approved the project, for a buyer asking whether the deck was permitted, or for a financing company that wants proof the work is finished.

04How do I write receipts when two neighbors split a fence?
Write a separate receipt to each person who pays, with their name, the amount, the date and how they paid. Say which share of the fence it covers and what that person still owes. Each neighbor then has their own record, and you can see at a glance who has paid.
05Should a deck receipt mention the inspections?
It helps. Noting that the footings, framing or final inspection passed, with the date, ties each payment to a stage the client can verify. Homeowners selling the house later may be asked whether the deck was permitted and inspected, and the receipt is an easy place to find it.
06What does a deposit receipt for decking need to say?
Name the quote it pays, the amount received and that it’s a deposit for materials. Note the decking and railing material ordered and any special-order items that can’t be returned. Put the balance due on completion under Payment details.
