How to use the free receipt generator
The free receipt generator makes a payment receipt in your browser, marked paid with nothing left due. Add your business and who paid, list what the payment covered, and note how they paid. The preview updates as you type, and the PDF is ready to send or print. Here is a filled-in receipt for a deck repair paid by check, made with the generator above. The business, client and prices are invented for the example.
- Which invoice it paysThe job name ties the receipt to invoice #2240, so the payment can’t be mistaken for another job.
- How it was paidThe check number and the date received are in the notes. If the check is ever questioned, both of you have the reference.
- What the payment coveredThe same lines as the invoice, so the client’s records show what they paid for, not just how much.
- Marked paidThe generator stamps the receipt paid, with no balance due. For a partial payment, list only the amount received.
Before you send it, check it has
- A receipt number and the payment date
- Your business details
- Who paid
- What the payment was for
- The amount paid, with tax shown
- How they paid, and any check or reference number
What goes into a strong receipt
The parts every receipt needs, and why each one matters to the client reading it.
The word “Receipt” and a number
A title that says it’s proof of payment, not a bill, and a number of its own so you can find it again.
The date of payment
The date you received the money, which may not be the date of the work or the invoice.
Who paid
The client’s name as it should appear in their records, which for a business may differ from the person who handed you the check.
What the payment was for
The invoice or estimate it applies to, and the work or items it covers. “Payment, $985” on its own helps nobody later.
The amount received
The amount, with tax shown if any was charged. It should match the payment exactly.
How it was paid
Cash, check with its number, card or bank transfer with a reference. It’s the detail that settles a question months later.
What’s still owed
For a deposit or a partial payment, the receipt should make clear it isn’t payment in full. Say what remains in the notes.
Your business details
Name, address and contact details, so the client knows who they paid and how to reach you.

No reference to the invoice
A receipt that doesn’t say what it pays can be argued to pay anything. Name the invoice or estimate.
Leaving out the method
Without the check number or reference, a receipt is hard to match to a bank statement.
Calling a deposit paid in full
This generator marks the receipt paid, so list only what was received, and note the balance still due.
Reusing receipt numbers
Every receipt needs its own number, just like invoices.
Waiting to send it
A receipt is easiest to give at the moment of payment, while you’re both there.
Not keeping a copy
