The details you need to reach them

Each client has a name, email, phone number and address, and only the name is required. Add someone the moment they call, then fill in the rest at the walkthrough, ready for the estimate and the link you send.

Real jobs rarely have one contact, so keep them all in one place instead of scattered through your phone’s contacts. Add up to five more email addresses and five more phone numbers for:

Who owes you, client by client

Each client’s page shows their outstanding balance: the total still owed across every invoice you’ve sent them. When a payment comes in, by card or bank transfer through Stripe or recorded yourself for a check or Zelle, the balance goes down on its own.

That gives you a working collections list without a spreadsheet:

01Is BuildWell a CRM?
It’s a simple client list built around estimates and invoices, not a sales pipeline or an email marketing tool. That keeps it quick: the people you work for, how to reach them, what you’ve sent them and what they owe, with nothing extra to set up or keep up.
02How do clients get into my list?
Three ways: add them yourself, choose them from your phone’s contacts, or name them on an estimate or invoice, and they’re added automatically. Only a name is required, so you can fill in the rest later, when you have it.
03Can I import my phone contacts?
Yes, one at a time. Choose a contact and BuildWell fills in their details as a new client. There’s no bulk import, so your list holds the people you actually work with rather than every number in your phone.
04Can a client have more than one email or phone number?
Yes. Along with the main email and phone, add up to five more of each, for a spouse, a property manager or a billing office, so every contact for the job is in one place.
05Do clients see my notes?
No. Client notes are private to you. They don’t print on estimates or invoices and never show on the links you send, so you can write down whatever helps you do the job, from the gate code to the best time to call.
06How is the outstanding balance worked out?
It’s the total still owed on the invoices you’ve sent that client. Online payments are recorded automatically, and when you record a cash, check or Zelle payment yourself, the balance updates right away. Drafts don’t count until you send them.
07What if a client hires me for more than one job?
Link a project to the client for each job. Each project keeps its own estimates, invoices, photos and notes, and the client’s page still shows everything you’ve sent them and what they owe in total.
08Can I see my clients on the web?
