How it works

How to use the free quote generator

The free quote generator makes a fixed-price quote in your browser. Add your business and the client, define the scope one line at a time, and write the terms that hold the price in place. The preview updates as you type, and the PDF is ready to send when you are. Below the tool you’ll find a worked example, the parts that make a quote hold up, the mistakes that turn a fixed price into a dispute, and when to send a different document.

How to make a quote: an example

Here is a filled-in quote for an interior repaint, made with the generator above. The business, client and prices are invented for the example.

  1. The price is called fixedThe terms say in so many words that this is a fixed price for this scope. That’s what separates a quote from an estimate.
  2. Scope by measured areaEach surface has its own measured quantity, so the client can see what they’re buying and what a change would cost.
  3. An expiry date, not a number of daysThe quote ends on a date anyone can read, so an old price can’t be accepted after costs rise.
  4. Exclusions that matter for this jobWallpaper and drywall repair are the usual surprises in a repaint. Naming them keeps the fixed price fixed.

Before you send it, check it has

  • A quote number and date
  • Your business details and the client’s
  • A clear scope: every item included, as its own line
  • The fixed price for each line and the total
  • What’s not included
  • How long the price is valid
  • Payment terms and the deposit, if any

What goes into a strong quote

The parts every quote needs, and why each one matters to the client reading it.

  1. The word “Quote” and a number

    Calling it a quote tells the client the price is fixed. The number lets you match it to the deposit, the change orders and the invoice.

  2. A defined scope

    Every item included, one per line, in words the client would use. The scope is what the fixed price buys; anything not on it isn’t.

  3. A price for each line

    Line prices let the client drop or add an item without a new quote, and show that the total came from real quantities.

  4. What’s not included

    The items a client might reasonably assume are part of the job, and aren’t. This is what keeps a fixed price fixed.

  5. What the price assumes

    Conditions you priced on, such as walls in sound condition or clear access to the work area. If they turn out different, so may the price.

  6. An expiry date

    The date the price stops being good. Write the date itself, so there’s no counting days.

  7. Deposit and payment terms

    What’s due to schedule the work, and when the rest is due. Tie payments to stages of the job on larger quotes.

  8. A way to accept

    A signature line or a request to reply in writing. A quote becomes a firm agreement when the client accepts it.

Quoting what you haven’t seen

If you can’t see the whole job yet, an estimate is safer than a fixed price. Quote what you can measure.

A scope that’s too loose

“Paint the downstairs” means different things to different people. Name every room and surface.

No exclusions

Anything left unsaid becomes part of the fixed price in the client’s mind.

Prices with no end date

A quote that never expires lets an old price come back after your costs have risen.

Forgetting prep and cleanup

Masking, moving furniture, disposal and cleanup take real time. Price them, or say the client handles them.

Extra work on a handshake

Work outside the scope needs its own price, agreed in writing before you start it.

01Is it really free, with no sign-up?
Yes. Fill in the form, download the PDF and send it. You don’t need an account, and what you type stays in your browser: nothing is sent to BuildWell.
02Is a quote binding?
Once the client accepts it, a quote is usually treated as a fixed price for the scope it describes. That’s why the scope and exclusions matter. For legal questions, ask a local attorney.
03How do I handle extra work after a quote?
Agree on it in writing before you do it, with a change order that prices the extra work.
04How long should a quote be valid?
Commonly 15 to 30 days. Write the expiry date in the terms so a client can’t accept an old price after costs have risen.
05Can I include optional add-ons?
Yes, but keep them out of the total. The generator adds every line, so list options in the notes with their prices, like “Option: paint closet interiors, add $240,” or send a second quote.
06Should a quote include sales tax?
If your state taxes the work or the materials, include it, so the quoted total is what the client pays. Tax rules vary by state; check with your state’s revenue department.
07Can I add my logo?
Yes. Upload a PNG, JPG, SVG or WebP up to 2 MB and it appears on the document. Choose a template and a color to match your brand.
08How do I save it as a PDF?
Click Download PDF, then choose “Save as PDF” as the printer in the dialog that opens. On a phone, use Share or Print and save the file.
09Will my details be here next time?
This browser remembers what you typed, so your business details are filled in the next time you open the generator on the same device. Clearing your browser data clears it.
10Can I make quotes faster?
