How to fill it in

Your kitchen remodeling receipt in four steps

    Add your details

    Put in your business name, phone, email and license number once, and save the file as your master copy.

    Name what it pays

    Write the number of the invoice or quote the payment is for, and whether it’s a deposit, a progress payment or the final payment.

    List what it covers

    Keep the lines the payment covers, with the quantities in linear feet, each and square feet and the prices from the invoice, and delete the rest.

    Record the payment

    Fill in the date paid, how the client paid with the check number or reference, and any balance still owed. Save it as a PDF and send it.

How kitchen remodeling jobs get paid

Kitchen payments follow the cabinets. The deposit holds the start date, and a second payment often goes with the cabinet order because it’s the largest outlay of the job. The receipt for that payment should say it’s for the special-order cabinets, so the client can see where the money went before anything arrives.

Progress payments at rough-in and at countertop install each get their own receipt. Write the stage, the check number or transfer reference and the total paid so far against the quote and any signed change orders. Where the client bought their own appliances or fixtures, the receipt covers only your work on those lines.

The final receipt is the one the client keeps. List the cabinets, countertop material and flooring installed, the warranty and the inspection if there was one. Homeowners refinancing or selling may be asked what was done and when, and a receipt with those details answers it.

02How do I show a deposit or a partial payment?
Keep the lines the payment covers and write the amount received as the total paid. Under Payment details, say it’s a deposit or a progress payment and write the balance still owed. In the Excel version, the amounts, the tax and the total paid calculate themselves.

04What should a receipt for a cabinet payment say?
Name the quote it pays against, say the payment is for the cabinet order and note the order date if you have it. Show what’s still owed on the job. The client then has a record that the cabinets were paid for, separate from the rest of the work.
05Do I write one receipt or several for a kitchen?
One for each payment. A kitchen paid at signing, at the cabinet order, at rough-in and at completion has four receipts, each naming its stage, the amount and the total paid so far. Together they show the whole job was paid in full.
06How do I show change orders on a kitchen receipt?
List each approved change the payment covers as its own line, with the change order number or date. The total paid then matches the signed quote plus the signed changes, and the client can see why the final amount is more than the original quote.
