How to fill it in

Your carpentry receipt in four steps

    Add your details

    Put in your business name, phone, email and license number once, and save the file as your master copy.

    Name what it pays

    Write the number of the invoice or quote the payment is for, and whether it’s a deposit, a progress payment or the final payment.

  3. 3

    List what it covers

    Keep the lines the payment covers, with the quantities in linear feet, each and square feet and the prices from the invoice, and delete the rest.

  4. 4

    Record the payment

    Fill in the date paid, how the client paid with the check number or reference, and any balance still owed. Save it as a PDF and send it.

How carpentry jobs get paid

Trim jobs often take a deposit to buy material and doors, and a final payment once everything is installed, filled and caulked. Write the deposit receipt with what it pays for, such as the prehung doors and the crown on order, so the client can see where the money went before you start.

Write the trim profiles and materials on the final receipt, room by room: the baseboard height and profile, the crown size, the door style. When the client adds a room later or needs to replace a damaged run, that’s the detail they’ll need to match, along with the date, how they paid and the check number or transfer reference.

Wood moves as a house dries out through its first heating season, and small gaps can open at miters and along the top of the base. Keep the term that covers filling them on the receipt, so the client knows it’s expected and who to call. When a builder or general contractor pays you, make the receipt out to them, name the project and say which invoice it settles.

02How do I show a deposit or a partial payment?
Keep the lines the payment covers and write the amount received as the total paid. Under Payment details, say it’s a deposit or a progress payment and write the balance still owed. In the Excel version, the amounts, the tax and the total paid calculate themselves.

04What should a trim carpentry receipt list?
What was installed, room by room: the trim profiles and materials, the doors and casings, the closets, and the linear feet where it applies. Add the date, who paid, how they paid with a check number or reference, and any balance still owed.
05Do I need a receipt for a deposit on stain-grade trim?
Yes. Stain-grade or custom trim is often ordered for one job and can’t be returned. A receipt that names the material, the quantity and that the deposit pays for it gives you and the client the same record if the job is delayed or canceled.
06How do I write a receipt when a builder pays me?
Make it out to the builder or general contractor, name the project and the lot or address, and say which invoice or stage the payment covers. Keep the balance still owed under Payment details so it lines up with their records at the next draw.
