How to fill it in

Your carpentry invoice in four steps

How carpentry jobs are billed

Trim jobs are usually billed with a deposit for material at signing and the balance when the trim is installed and filled. On larger projects, such as trimming out a whole house for a builder, bill by stage: doors hung, base and casing installed, then crown and details.

Bill the linear feet actually installed. If the client added a room of crown or another closet, put it on its own line so the invoice matches what they approved.

If you’re working for a builder or general contractor rather than a homeowner, follow their billing schedule and paperwork. Many pay once a month against an approved draw and need your invoice by a set date to include it in that month’s payment. Ask before the job starts so your invoice lands in the right cycle.

01Is this carpentry invoice template free?
Yes. Download the PDF, Word or Excel file and use it for as many jobs as you like. There’s no sign-up.
02Can I bill a deposit with this template?
Yes. Bill the deposit as its own invoice, then record it under Amount paid on the final invoice. In the Excel version, the balance due subtracts it for you.
03Can clients pay the invoice online?
Not from the template: it’s a file you send. In BuildWell, every invoice goes out as a link your client can pay by card or US bank transfer through Stripe once you connect it, with no BuildWell fee on top, or with the Zelle, Venmo or check details you list.
04Should I price trim per linear foot or per room?
Per linear foot is more accurate and scales with the room. You can still give a room total: keep each room’s lines together and add them up.
05Is the door price separate from the casing?
On this template, yes: one line to hang the prehung door and one to case the opening. Clients see each cost, and you can price a door swap that keeps the old casing.
06Do I include paint on a trim estimate?
Only if you’re painting. Filling and caulking are on the template because they’re part of finish carpentry; painting has its own line you can keep or delete.
