How to fill it in

Your concrete invoice in four steps

    Put in your business name, phone, email and license number once, and save the file as your master copy.

    Copy the signed estimate

    Use the same lines and prices the client approved, then add each approved change as its own line.

    Bill what was done

    Enter the quantities actually installed, in square feet and linear feet, and record any deposit already received under Amount paid.

    Send it

    Add the invoice date, a due date and how to pay, save it as a PDF and send it.

How concrete jobs are billed

Concrete jobs commonly take a deposit at signing and the balance when the pour is finished, since the ready-mix order and the crew are committed on pour day. Larger jobs with demolition or footings may add a progress payment after the forms and reinforcement pass inspection.

If the slab was poured larger or thicker than estimated, or the base needed more gravel, bill the difference as its own line. Put the cure-time instructions on the invoice: when the client can walk on it and when they can drive on it.

Weather delays don’t usually change the price, but a rained-out pour can cost you a trip. Bill a rescheduling fee only if it was in your terms. Pumping, when the truck can’t reach the forms, is usually a separate charge; show it as its own line so it matches the estimate.

01Is this concrete invoice template free?
Yes. Download the PDF, Word or Excel file and use it for as many jobs as you like. There’s no sign-up.
02Can I bill a deposit with this template?
Yes. Bill the deposit as its own invoice, then record it under Amount paid on the final invoice. In the Excel version, the balance due subtracts it for you.
03Can clients pay the invoice online?
Not from the template: it’s a file you send. In BuildWell, every invoice goes out as a link your client can pay by card or US bank transfer through Stripe once you connect it, with no BuildWell fee on top, or with the Zelle, Venmo or check details you list.
04Should concrete be priced per square foot or per cubic yard?
Quote per square foot at a stated thickness; that’s how clients compare bids. Order and cost your concrete per cubic yard: square feet times thickness in feet, divided by 27.
05Why are demolition and the base separate lines?
They depend on the site, not the slab. Two identical patios can cost very different amounts when one replaces an old slab and the other goes on bare ground.
06Do I need to list the reinforcement?
It helps. Rebar, wire mesh and fiber cost different amounts and clients ask about them. Naming the reinforcement shows what’s in the slab once it’s covered.
