How to fill it in

Your flooring invoice in four steps

    Put in your business name, phone, email and license number once, and save the file as your master copy.

    Use the same lines and prices the client approved, then add each approved change as its own line.

    Bill what was done

    Enter the quantities actually installed, in square feet and linear feet, and record any deposit already received under Amount paid.

    Send it

    Add the invoice date, a due date and how to pay, save it as a PDF and send it.

How flooring jobs are billed

Flooring jobs commonly take a deposit at signing to order material, since flooring is often special-ordered and some types need to sit in the house to acclimate before they go down, and the balance on completion.

If the subfloor needed more leveling or repair than estimated, bill the extra square feet as their own line at the rate on your estimate. Note on the invoice that leftover boxes stay with the client, who paid for them and may need them for repairs.

If the client staged the job, the bedrooms one week and the living area the next, bill per area as each is finished. List the product installed, its square footage and the transitions, so the client has a record for warranty claims and future repairs. Furniture moving, if it was an extra, goes on its own line.

01Is this flooring invoice template free?
Yes. Download the PDF, Word or Excel file and use it for as many jobs as you like. There’s no sign-up.
02Can I bill a deposit with this template?
Yes. Bill the deposit as its own invoice, then record it under Amount paid on the final invoice. In the Excel version, the balance due subtracts it for you.
03Can clients pay the invoice online?
Not from the template: it’s a file you send. In BuildWell, every invoice goes out as a link your client can pay by card or US bank transfer through Stripe once you connect it, with no BuildWell fee on top, or with the Zelle, Venmo or check details you list.
04How much waste should I add?
It depends on the material and the layout. Straight plank in simple rooms needs less than diagonal or herringbone layouts or large-format tile. Use your own numbers from past jobs and write the percentage in the terms, as the template does.
05Should removal be its own line?
Yes. Removal depends on what’s coming up, not on what’s going down, and some clients pull the old carpet themselves to save money.
06What if I find problems under the old floor?
Price leveling and subfloor repair per square foot on their own lines, and say in the terms that anything beyond them is priced as a change once the old floor is up.
