How to fill it in

Your painting invoice in four steps

    Add your details

    Put in your business name, phone, email and license number once, and save the file as your master copy.

    Copy the signed estimate

    Use the same lines and prices the client approved, then add each approved change as its own line.

  3. 3

    Bill what was done

    Enter the quantities actually installed, in each, linear feet and square feet, and record any deposit already received under Amount paid.

    Send it

    Add the invoice date, a due date and how to pay, save it as a PDF and send it.

How painting jobs are billed

Most residential painting jobs are short enough to bill a deposit at signing, often to cover paint, and the balance on completion after a walkthrough with the client. Large interiors done in phases can be billed per floor or per completed area.

Bill touch-ups and color changes requested after the walkthrough as their own lines. If the client added a room or an accent wall during the job, list it separately so the invoice matches the signed estimate plus the approved changes.

List the paint colors and sheens used, room by room if they differ. It’s the record the client looks for when they need touch-up paint later, and it saves you a phone call. If leftover paint stays with the client, say so, and label the cans before you leave.

01Is this painting invoice template free?
Yes. Download the PDF, Word or Excel file and use it for as many jobs as you like. There’s no sign-up.
02Can I bill a deposit with this template?
Yes. Bill the deposit as its own invoice, then record it under Amount paid on the final invoice. In the Excel version, the balance due subtracts it for you.
03Can clients pay the invoice online?
Not from the template: it’s a file you send. In BuildWell, every invoice goes out as a link your client can pay by card or US bank transfer through Stripe once you connect it, with no BuildWell fee on top, or with the Zelle, Venmo or check details you list.
04Should I price painting by the room or by the square foot?
Square feet are more accurate and easier to explain, because rooms vary so much. You can still give the client a room price: keep each room’s lines together and add them up.
05Do I include the paint in the price?
Either way works. If you supply it, add it as its own line or build it into the per-square-foot price and name the product in the terms. If the client buys it, say so, so the price is clearly labor only.
06How do I account for prep work?
Give prep its own lines, such as patching, caulking and priming, instead of padding the wall price. It’s easier to explain, and you can add or remove it once you’ve seen the walls.
