How to fill it in

Your painting quote in four steps

    Add your details

    Put in your business name, phone, email and license number once, and save the file as your master copy.

    Measure the job

    Measure wall and ceiling areas in square feet room by room, trim in linear feet, and count doors, windows and cabinet doors.

  3. 3

    Fix a price for each line

    Enter a quantity and a fixed price on each line the job needs, in each, linear feet and square feet. Delete the lines you don’t need, and write what the price assumes in the terms.

  4. 4

    Send it for acceptance

    Fill in the blanks in the terms, save it as a PDF and send it. The client signs the acceptance line, and the price holds for the work listed.

How painting jobs are quoted

A painting quote works well on rooms you’ve walked and measured: a bedroom repaint in a similar color, a hallway with its trim and doors, a set of kitchen cabinet doors. The client sees one number for the room or the house and decides once, instead of watching hours add up. You carry the risk of the prep taking longer than it looked.

That risk lives in the walls. Before you fix a price, look at them under good light and decide how many nail holes, dents and cracks the patch and crack-repair lines really cover. Write down what the price assumes: walls sound, old paint bonded, no stains bleeding through. Water marks, smoke damage and peeling paint need scraping or a stain-blocking primer that the standard prime line doesn’t cover, so put them outside the price or quote them as their own lines.

Name the colors and sheens on the quote, or set an allowance of ____ colors per room, since each extra color adds cutting in and cleanup. Cabinet doors deserve their own quote with their own count, because enamel work runs on a different clock. Paint costs move, so hold the price for the stated window and requote if the client comes back later.

Yes, once you’ve walked every room and counted the prep. Build the price room by room from the lines, write what it assumes about wall condition, and keep stains, peeling paint and water damage outside it so a surprise in one room doesn’t eat the profit on the rest.
05How do I handle color choices on a painting quote?
Name the colors and sheens if the client has chosen them, or set an allowance for the number of colors per room. Say that new or changed colors after the quote are priced as a change, since each one adds cutting in, cleanup and sometimes an extra coat.
06Should cabinet painting be quoted separately from the walls?
It often helps. Cabinet doors are enamel work priced per door, with drying time between coats and hardware to remove and refit. A separate quote lets the client say yes to the rooms and think about the cabinets without holding up the rest of the job.
