How to fill it in

    Measure the job

    Count every window and door by type and size, note the openings that change size or need framing, and measure casing in linear feet.

    Fix a price for each line

    Enter a quantity and a fixed price on each line the job needs, in each and linear feet. Delete the lines you don’t need, and write what the price assumes in the terms.

    Send it for acceptance

    Fill in the blanks in the terms, save it as a PDF and send it. The client signs the acceptance line, and the price holds for the work listed.

How window and door jobs are quoted

Window and door replacement suits a fixed quote because the work is counted, not open-ended: a set number of openings, each with a unit, an install type and trim. Once you’ve measured every opening yourself and checked the frames, you can stand behind a price for each unit and a total the client signs.

The risk is in the measurements and the frames. You order to your sizes, so a wrong measurement is your cost, and a quote should be based on what you measured, not on numbers the client sends. An insert price assumes the existing frame is sound and square; say so, and say that a frame that isn’t becomes a full-frame install priced as a change. Under an old entry door, the sill and subfloor can be soft, so check before you fix the price.

Lead times shape how long you can hold a quote. Keep the valid period short, and make the order date the point where the price locks. List each opening as its own group of lines so the client can drop a unit without reworking the whole quote, and spell out what’s excluded, such as painting, blinds and alarm sensors on the frames.

04Should I quote windows from the client’s measurements?
Use them for a rough price if you like, but measure every opening yourself before the quote is signed and the units are ordered. Units are made to size and can’t go back, so the measurements behind a fixed price should be yours.
05Can I quote insert windows if I’m not sure the frames are sound?
Yes, if the quote says the insert price assumes a sound, square frame. Add that a damaged frame becomes a full-frame install, priced before work continues. Probing the sills and checking the frames for square at the measuring visit cuts down on surprises.
06How long should a window quote be valid when units take weeks to arrive?
Keep the valid period short and lock the price when the order is placed. Manufacturers can change their pricing, and a quote that sits for months may no longer match what the units cost. If a client signs late, confirm the unit prices before you order.
