How to fill it in

Your flooring quote in four steps

    Put in your business name, phone, email and license number once, and save the file as your master copy.

    Measure the job

    Measure each room’s floor in square feet, add your waste factor for the material and layout, and measure the perimeter in linear feet for base, shoe and transitions.

    Fix a price for each line

    Enter a quantity and a fixed price on each line the job needs, in square feet and linear feet. Delete the lines you don’t need, and write what the price assumes in the terms.

    Send it for acceptance

    Fill in the blanks in the terms, save it as a PDF and send it. The client signs the acceptance line, and the price holds for the work listed.

How flooring jobs are quoted

A flooring quote fits a room or a set of rooms where you know what’s coming up and what’s going down: carpet out and vinyl plank in across the bedrooms, or tile out and engineered hardwood in through the living area. With the room measured, the waste factor set and the transitions counted, you can stand behind one price, and for a large, visible purchase like a floor, the client usually wants one.

The unknown is under the old floor. Until the carpet and pad are up or the tile is broken out, you can’t see squeaks, soft spots, old adhesive or a dip that will show through long planks. Quote leveling and subfloor repair as lines with a set area, and say that anything beyond them is priced before the new floor goes down. On a concrete slab, decide whether moisture testing is part of the price, because a damp slab can rule out glue-down wood.

Be clear about material. If you supply it, the quote names the product and color, and the price depends on the order going in soon, so a short validity window protects you. If the client buys it, the quote is installation only and says so. Put furniture, appliances and painting the reinstalled base either in or out in writing.

Both list the same flooring line items. The quote’s terms make the price fixed for the work listed and put anything else outside it, while the estimate’s terms leave room for the final price to change. Use the quote when you can see the whole job and stand behind one number.

04How long should I hold a flooring quote?
Keep it short when you’re supplying material, since product prices and stock can change between the quote and the order. Write the validity on the quote and order once the deposit is in. If the client comes back after it lapses, check the price and stock and send a new quote.
05Should a flooring quote include leveling?
Include a set amount of leveling as its own line, based on what you can check before the old floor comes up, and say that anything beyond it is priced once the floor is removed. That keeps the main price firm and tells the client the subfloor is an unknown.
06What if the client wants to supply the flooring?
Then the quote is for installation only. Say the material is client-supplied, that the client is responsible for ordering enough to cover waste, and that the product carries its manufacturer’s warranty, not yours. Ask to see the product and its install instructions before you fix the price.
