How to fill it in

Your painting receipt in four steps

    Add your details

    Put in your business name, phone, email and license number once, and save the file as your master copy.

    Name what it pays

    Write the number of the invoice or quote the payment is for, and whether it’s a deposit, a progress payment or the final payment.

  3. 3

    List what it covers

    Keep the lines the payment covers, with the quantities in each, linear feet and square feet and the prices from the invoice, and delete the rest.

  4. 4

    Record the payment

    Fill in the date paid, how the client paid with the check number or reference, and any balance still owed. Save it as a PDF and send it.

How painting jobs get paid

Painting jobs often take two payments: a deposit when the quote is signed, often to buy the paint, and the balance after the final walkthrough. Write a receipt for each. The deposit receipt should say what it covers, such as paint and materials for the rooms listed, so the client knows where the money went before you arrive.

At the final payment, the receipt becomes the client’s record of what was painted. List the rooms, the colors and sheens, and the product used, alongside the amount, the date and how they paid, with a check number or transfer reference. When they need touch-up paint years later, or sell the house, this is the paper they go looking for.

Put the touch-up window on the receipt so the client knows how long they have to report a scuff or a missed spot. If a landlord or property manager pays for a repaint between tenants, write the property address and unit on the receipt, since they file costs by property, not by the person who signed.

02How do I show a deposit or a partial payment?
Keep the lines the payment covers and write the amount received as the total paid. Under Payment details, say it’s a deposit or a progress payment and write the balance still owed. In the Excel version, the amounts, the tax and the total paid calculate themselves.

04Should a painting receipt list the paint colors?
Yes. List each room with its color, sheen and product. The client needs it for touch-ups and future repaints, and having it on the receipt means they don’t have to call you to ask which white went in the hallway.
05How do I write a receipt for a paint deposit?
Name the quote it pays, write the amount and say it’s a deposit toward paint and materials. Put the balance due after the walkthrough under Payment details, then write a second receipt when the final payment comes in.
06Who should the receipt go to on a rental repaint?
Make it out to whoever paid, whether that’s the owner, a property manager or the tenant, and write the property address and unit on it. Owners usually track repair costs by property, so the address matters as much as the name.
