How to fill it in

Your plumbing receipt in four steps

    Write the number of the invoice or quote the payment is for, and whether it’s a deposit, a progress payment or the final payment.

    List what it covers

    Keep the lines the payment covers, with the quantities in each and linear feet and the prices from the invoice, and delete the rest.

    Record the payment

    Fill in the date paid, how the client paid with the check number or reference, and any balance still owed. Save it as a PDF and send it.

How plumbing jobs get paid

Plumbing service calls are often paid before you leave, by card, check or a transfer while you wait. A receipt on the spot answers the client’s first question, whether the payment went through, and gives them something to file with the home’s records.

List what the payment covered, line by line, and keep the warranty on the receipt. Homeowners claiming a water heater or fixture warranty, or a water damage claim with their insurer, are often asked for proof of when the work was done and who did it. A receipt that names the fixture, the date and your license number does that job.

On staged work such as a repipe, write a receipt for each payment: the deposit, the payment at rough-in and the balance at trim-out. Say which stage each one covers and what is still owed, so nobody has to rebuild the history from bank statements later.

02How do I show a deposit or a partial payment?
Keep the lines the payment covers and write the amount received as the total paid. Under Payment details, say it’s a deposit or a progress payment and write the balance still owed. In the Excel version, the amounts, the tax and the total paid calculate themselves.

Your business name and license number, the date paid, who paid, how they paid with a check number or reference, what the payment covered, the amount and any balance still owed. Add the warranty terms so the client has them in one place.
05Do I need a receipt if the client paid by card?
A card statement shows the charge, not what it was for. A receipt that lists the work and the warranty is what the client will need for a warranty or insurance claim.
06How do I write a receipt for a deposit on a repipe?
Name the quote or invoice it pays, write the amount received and say it’s a deposit. Put the balance still owed in the notes, then write a new receipt for each later payment.
