The electrical receipt template, with its line items listed

What’s on a electrical receipt

Every line is one part of the electrical job, listed on its own so the client can see exactly what their payment covered.

Line itemUnitWhy it’s its own line
Branch circuit rough-in run 12/2 cableper linear ftNew circuits are priced by the foot of cable from the panel, so distance shows in the price.
Fish cable through finished wall or ceilingper linear ftFishing through finished walls is slower than open framing and is priced that way.
Old work device box cut-ineachEach new box in an existing wall is cutting, fishing and setting, priced each.
Standard duplex receptacle installeachDevices are counted, so adding three outlets changes the count and the total follows.
GFCI receptacle installeachGFCI devices cost more and take longer than standard ones, and code requires them in wet locations.
Remodel recessed LED light installeachRecessed lights are priced per fixture; the count is the price.
Ceiling fan install with rated brace boxeachA fan needs a box rated for its weight. The line covers the brace, not just hanging the fan.
Smoke and carbon monoxide alarm installeachAlarms are often required when a permit is pulled. Listing them avoids a surprise at inspection.
200 amp main service panel replacementeachA panel change involves a permit, an inspection and the utility, so it’s always its own line.
Drywall patch at electrical access openingseachAccess holes need patching. A line settles who closes the wall.
Circuit testing, panel labeling and final cleanupeachTesting and labeling are the last step of a correct job; naming them shows they were done.
How to fill it in

Your electrical receipt in four steps

  1. 1

    Add your details

Put in your business name, phone, email and license number once, and save the file as your master copy.

  2. 2

    Name what it pays

Write the number of the invoice or quote the payment is for, and whether it’s a deposit, a progress payment or the final payment.

  3. 3

    List what it covers

Keep the lines the payment covers, with the quantities in linear feet and each and the prices from the invoice, and delete the rest.

  4. 4

    Record the payment

Fill in the date paid, how the client paid with the check number or reference, and any balance still owed. Save it as a PDF and send it.

How electrical jobs get paid

Small device jobs are paid when you finish, so the receipt is written on site. List the devices installed by count, the date and how the client paid, by card, check or a bank transfer, with the reference.

Panel changes and new circuits for an EV charger usually involve a deposit for the equipment and a balance after the inspection passes. The deposit receipt should say what equipment it buys. The final receipt should show the permit number, the inspection date and the equipment rating, such as the panel amperage, so the homeowner has proof of permitted work.

Homeowners use electrical receipts more than they expect. An insurer may ask about the panel’s age and type, a buyer’s inspector may ask whether the work was permitted, and some energy rebates ask for proof of purchase and installation. A receipt that lists the work, your license number and the warranty covers all three.

Electrical receipt template FAQ

01Is this electrical receipt template free?
Yes. Download the PDF, Word or Excel file and use it for as many jobs as you like. There’s no sign-up.
02How do I show a deposit or a partial payment?
Keep the lines the payment covers and write the amount received as the total paid. Under Payment details, say it’s a deposit or a progress payment and write the balance still owed. In the Excel version, the amounts, the tax and the total paid calculate themselves.
03Can BuildWell send receipts for me?
Yes, with a subscription. Record each payment on the invoice with the amount, the method and a note, and partial payments add up; card and bank payments through Stripe are recorded for you. When the invoice is paid in full, Share receipt writes a message you can text or email, and the invoice can print with a paid stamp. It costs $7.99 a week or $79.99 a year after a 3-day free trial.
04Should the permit number go on an electrical receipt?
Yes, on the final receipt for any permitted job, along with the inspection date and result. Homeowners may need proof of permitted work for insurance or when they sell, and a receipt with the permit number is easier to find than the city’s records.
05How do I write a receipt for a panel deposit?
Name the quote, say the payment is a deposit for the panel and breakers, and write the balance due after the inspection passes. If the deposit can’t be refunded once the equipment is ordered, say so on the receipt so the homeowner knows before anything changes.
06Does a homeowner need a receipt for an energy rebate?
Rebate programs often ask for proof of purchase and installation by a licensed electrician. A receipt that lists the equipment, its rating, your license number and the date installed usually covers it. Check the program’s own rules for anything else it needs.
