How to fill it in

Your roofing receipt in four steps

    Add your details

    Put in your business name, phone, email and license number once, and save the file as your master copy.

    Name what it pays

    Write the number of the invoice or quote the payment is for, and whether it’s a deposit, a progress payment or the final payment.

  3. 3

    List what it covers

    Keep the lines the payment covers, with the quantities in square feet, linear feet and each and the prices from the invoice, and delete the rest.

  4. 4

    Record the payment

    Fill in the date paid, how the client paid with the check number or reference, and any balance still owed. Save it as a PDF and send it.

How roofing jobs get paid

A reroof is usually paid in two parts, and each needs its own receipt. The deposit receipt should say it’s a deposit against the signed quote, what it pays for, such as the shingle order and the dumpster, and the balance still owed after it.

Insurance claims add a third party to the payment. The homeowner may pay you with a check made out to them and their lender, or pay in stages as the insurer releases funds. Write a receipt for each payment with the check number, who it came from and which part of the work it covers. The insurer or lender may ask for proof the roof was paid for before releasing the rest.

On the final receipt, record the roof that went on: the square feet installed, the shingle line and color, the underlayment, the date finished and the workmanship warranty. Homeowners keep it with the house papers, and it’s what a buyer’s inspector or a future warranty claim will ask to see.

02How do I show a deposit or a partial payment?
Keep the lines the payment covers and write the amount received as the total paid. Under Payment details, say it’s a deposit or a progress payment and write the balance still owed. In the Excel version, the amounts, the tax and the total paid calculate themselves.

04How do I write a receipt for an insurance-funded roof?
Write one for each payment as it arrives. Note the check number, who issued it, the claim number if the homeowner gives it to you, and which part of the work it covers. The homeowner may need each receipt to get the next release from their insurer or lender.
05Should the roofing warranty go on the receipt?
Yes, on the final receipt as well as the invoice. The receipt shows the roof was paid for in full, which a warranty claim may ask for. Put the workmanship term and the shingle line on it so the homeowner has the whole record on one page.
06What if the homeowner pays the roofing deposit in cash?
Write the receipt there and then, sign it and give the homeowner a copy. Note that it was cash, the date and what it’s a deposit against. A cash payment leaves no bank record, so the receipt is the only proof either of you has.
