How to fill it in

Your handyman receipt in four steps

    Add your details

    Put in your business name, phone, email and license number once, and save the file as your master copy.

  2. 2

    Name what it pays

    Write the number of the invoice or quote the payment is for, and whether it’s a deposit, a progress payment or the final payment.

  3. 3

    List what it covers

    Keep the lines the payment covers, with the quantities in each, linear feet and square feet and the prices from the invoice, and delete the rest.

  4. 4

    Record the payment

    Fill in the date paid, how the client paid with the check number or reference, and any balance still owed. Save it as a PDF and send it.

How handyman jobs get paid

Handyman work is often paid on the spot at the end of the visit, by card, check or a bank transfer. Hand over the receipt before you leave. It confirms the payment went through and shows each task you finished, including anything the client added while you were there.

List every task as its own line with the parts used, so the receipt matches the quote and the client can see what was done in each room. If you’re paid in cash, the receipt is the client’s only record, so write the amount, the date and that it was paid in cash.

If you work for landlords or property managers, they need a receipt for every visit with the property address and unit. A client who had a grab bar or other safety change put in may need the receipt too, if a program or insurer is helping with the cost. Keep the workmanship guarantee on the receipt so everyone knows how long a fix is covered.

02How do I show a deposit or a partial payment?
Keep the lines the payment covers and write the amount received as the total paid. Under Payment details, say it’s a deposit or a progress payment and write the balance still owed. In the Excel version, the amounts, the tax and the total paid calculate themselves.

04Should a handyman receipt list every task separately?
Yes. One line per task, with the parts used, makes the receipt match the quote and shows the client what they paid for. It also helps when they call back about one of the fixes, since you can see exactly what was done and when.
05What should a receipt show when the client pays cash?
The amount, the date, the words paid in cash, what the payment covered, and your business name and contact details. Sign it if the client asks. Keep a copy for your own books, since cash leaves no bank record on either side.
06Do landlords need anything special on a handyman receipt?
The property address and unit, the tasks done, the date and who paid. Landlords and property managers track repair costs by property, so a receipt without the address tends to come back with a question. If a tenant let you in, you can note their name too.
