Work order
A work order is a document that authorizes a specific job or task and describes the work, location, schedule and who will do it.
Work orders are the everyday paperwork of service and maintenance work. A property manager sends one to a plumber for a leaking faucet in unit 4B; a contractor hands one to a crew lead with the day’s tasks.
A useful work order includes the address and access details, a contact name and phone number, a clear description of the problem or task, any not-to-exceed amount, the scheduled date and who is assigned. On completion, the crew adds what was done, materials used, time spent and photos, plus a customer signature if one is required.
Clients who send work orders usually need the work order number on your invoice, and some require the completed work order to be attached before they pay.
A work order isn’t the same as a change order. A work order authorizes a task, often under an existing service agreement; a change order modifies an existing contract’s scope or price.
