Invoice

An invoice should include your business name, contact details and license number; the client’s name and the job address; an invoice number and date; a description of the work with quantities and prices; any deposit or earlier payments; tax; the amount due; the due date; and how to pay.

Give every invoice a unique number, in sequence. It keeps your books straight, and it’s the reference the client will use when paying.

On progress-billed jobs, each invoice should also show the contract total, change orders, previous billings, retainage held and the balance remaining, so nobody has to rebuild the history from emails.

Send it promptly, ideally the day the work or milestone is done. Late invoices get paid late, and the details are clearer while the job is fresh. Include a payment link or clear instructions, and mention the due date in the email or text that carries it.
