What is Square Invoices?

Square Invoices is the invoicing side of Square, aimed at service businesses; its estimates page names contractors, electricians, HVAC, cleaning and home repair among them. You send estimates, contracts and invoices from the Square Dashboard on the web, the Square Invoices app or the Square Point of Sale app, and clients pay by card, bank transfer, Afterpay or Cash App Pay, online or in person. Invoicing comes with every Square plan, including a free one, alongside Square’s payroll, bookings, staff scheduling and banking. [8][4][5][14][2]

What is BuildWell?

BuildWell is an estimating and invoicing app for contractors doing remodels, repairs and the common trades, on iPhone, Android and the web. You describe a job by voice, text, photos or a floor plan; the AI plans the work and quantities, and every price comes from data: materials at stores near the job, checked within 30 days, and labor at the Bureau of Labor Statistics median wage for each trade in your metro, plus your overhead and markup. Clients sign on their phone, the estimate becomes the invoice, and clients pay by card or bank transfer at Stripe’s cost. It’s one plan at $7.99 a week or $79.99 a year after a 3-day free trial, and it doesn’t do scheduling, dispatch, CRM, payroll, time tracking, GPS or accounting. [7][6][9][10][13][1]

Feature by feature

Writing the estimate

Square Invoices: Square estimates are itemized: services, quantities, prices, discounts, notes and attachments (up to 10 files, 25 MB in all). You add a customer and up to nine more recipients, then send by email, text or a link. On Plus and Premium you can offer two to nine packages in one estimate so the client picks an option. [8][4][5]

BuildWell: You describe the job by voice or text, add up to five photos or a floor plan, and BuildWell asks only the questions that change the price. It shows the plan of work in order, then builds line items, each a unit of work with its own labor hours and materials. Every quantity, hour and price is editable, and a revision keeps the original and goes out to be signed again. [6][7]

The difference: Square suits a business that already knows its prices and wants to offer clients tiered options. BuildWell is built for jobs where working out the line items and quantities is the hard part. [4][6]

Where the prices come from

Square Invoices: Prices come from you. Lines are added by searching your item library or scanning a barcode, with modifiers, notes and taxes, and Square’s invoices page says set taxes and discounts can apply automatically when an item is added. [4][14][15]

BuildWell: Prices come from real local data. Each material is priced at a store near the job, checked within the last 30 days, and labor is the Bureau of Labor Statistics median wage for that trade in your metro, plus the overhead, markups, sales tax and permit fee you set. A material with no store price is flagged for you to confirm before sending, and prices you type are saved. [6][7]

AI tools

Square Invoices: Square’s AI shows up in two places. In contracts, you can generate a clause from a title and a short prompt, then use it or regenerate; Square says a third-party partner powers it. Square AI, listed in beta on the pricing page, is a chat assistant that offers business recommendations from your data, industry trends and web search. [11][2]

BuildWell: AI does the estimating: it reads your words, photos and floor plan, plans the work and picks quantities, and you can ask it to revise the estimate after your own edits without losing them. It also makes before-and-after renders from a photo. BuildWell shares job details and photos with Anthropic, Google and OpenAI to do this, which you can turn off in your profile. [6][16]

Client approval and e-signatures

Square Invoices: Clients review and accept estimates online. Signatures live in Square Contracts: start from standard templates such as a service agreement or completion of services, or your own, add clauses from a clause library, and the client initials and signs electronically; a PDF copy of the finished contract is emailed for record keeping. Plus and Premium can require a signed contract before an invoice is paid and add custom contract fields. [8][11]

BuildWell: Clients open the estimate on their phone, with no app or account, and accept and sign with a finger or decline. Their name and signature print on the signed estimate. You can send the link by text or email, copy it, share the PDF, or collect the signature in person on your own phone. Invoices can ask for a signature too. [9][10]

Invoices

Square Invoices: Square’s pricing page lists unlimited invoices, and recurring ones run daily, weekly, monthly or yearly, optionally charging a card on file. Invoices take discounts, taxes, shipping, service charges and tips, go up to one million dollars, and can require the client to confirm goods and services were delivered. Plus and Premium add batch invoices and custom fields. [2][5]

BuildWell: A signed estimate becomes the invoice with the same lines and totals, or you start one from scratch for a small job. Terms are due on receipt, 7, 14 or 30 days. You can record cash and check payments, void an unpaid invoice and attach job photos and renders, which print after the invoice. [10]

Deposits and progress payments

Square Invoices: Any plan can request a deposit, as a percentage or an amount, with its own due date and the balance due later. Plus and Premium can split the balance into up to 12 milestone payments on a single invoice, not counting the deposit. Square’s help center says payment schedules aren’t available with late fees. BuildWell: Invoice any percentage of the estimate as a deposit, then progress payments, then the balance, each against the estimate. Every payment is recorded against its invoice, so you always see what’s paid and what’s left. Clients need no account to pay. [10]

The difference: Both handle staged billing. Square puts the milestones on one invoice, on Plus and Premium; BuildWell issues each stage as its own invoice on its single plan. [12][10][1]

Online payments and fees

Square Invoices: Clients pay invoices by card, Apple Pay, Google Pay, Cash App Pay, ACH, Afterpay or Square gift card. Online cards cost 3.3% + 30¢ on Free and 2.9% + 30¢ on paid plans; ACH is 1% with a $1 minimum, capped at $10 on paid plans and free with Square Checking. Card on file is 3.5% + 15¢ and Afterpay 6% + 30¢. Payouts arrive the next business day free, or instantly for 1.95%. [5][2][17]

BuildWell: Connect Stripe once and clients choose card or US bank account on the invoice page. Stripe’s fee passes through at cost, 2.9% + 30¢ for a card and 0.8% capped at $5 for a bank transfer, and BuildWell adds nothing. You can also list Zelle, Venmo, Cash App, PayPal or check details to print on every invoice. [13]

The difference: Square also takes cards in person, with its own hardware or Tap to Pay on a phone. BuildWell is for invoices paid online, plus the cash and checks you record. [2][13][10]

Follow-up and reminders

Square Invoices: Square sends automatic payment reminders before, on or after the due date, though not when the invoice goes by text message. You can get push notifications when a client views an invoice or estimate, pays or accepts, and emails when an invoice is sent, updated, paid or canceled. [2][5][18]

BuildWell: You see when the client opens the estimate and how many times, and get a notice when they accept, decline or pay. You can send an estimate or invoice up to five times, by text or email, so a client isn’t flooded. [9]

The difference: Square can send payment reminders on a schedule you set. BuildWell shows you when the client has opened the estimate and leaves the follow-up to you. [2][9]

Templates and branding

Square Invoices: Your logo and brand color can go on invoices without a paid plan, shown framed or full, and printed invoices use an original, modern or classic layout. Custom invoice templates come with Plus and Premium: you can save up to 100, each with preset items, payment options and notes, and pick one as the default. [15][2][5]

BuildWell: Six document templates carry your logo and colors on every plan, and any estimate or invoice prints in English or Spanish. Signed estimates print the client’s name and signature, and renders print as before-and-after pages. [1][3][9][16]

Devices, language and support

Square Invoices: Square Invoices runs in the Square Dashboard on the web, the Square Invoices app and the Square Point of Sale app. Square’s invoices page says it doesn’t support multi-currency acceptance today. Phone support runs 6am–6pm PT on weekdays, only for the first 90 days on Free, and 24/7 on Premium. [5][4][14][2]

BuildWell: One subscription, bought on the App Store, Google Play or the web, covers BuildWell on iPhone, Android and the web, with everything in sync. On iPhones with LiDAR you can scan a room for its measurements. The app works in English or Spanish, and support is by email from the support page. [3][19]

Square’s pricing page lists a free plan plus paid plans billed per location each month, with lower processing fees on the paid plans. BuildWell is one plan at $7.99 a week or $79.99 a year after a 3-day free trial, with no free plan. [2][1]

Square’s fees are charged on each payment, by plan. BuildWell passes Stripe’s 2.9% + 30¢ or 0.8% capped at $5 through at cost. [2][13]

The verdict

Square Invoices is a broad payments platform with invoicing built in and a free way to start; BuildWell is a narrower tool for pricing and billing construction jobs. Both take deposits, collect signatures and accept card and bank payments. [2][12][11][10][9][13]

On Square Plus and Premium you can require an attached contract to be signed before an invoice is paid. In BuildWell the client signs the estimate itself, and you can ask for a signature on the invoice too. [11][9][10]
05Can I bill a job in stages?
