BuildWell vs Housecall Pro
Housecall Pro runs a home-service business: booking, scheduling, dispatch, estimates, invoices and payments, in three plans billed monthly or annually. BuildWell does a narrower job: it prices the work, gets it signed and gets you paid, with AI planning the job and local store and wage data setting the prices.

What each app is
What is Housecall Pro?
Housecall Pro is field service software for home-service businesses; its features page cites more than 50 industries, and its site lists trades from HVAC, plumbing and electrical to landscaping and remodeling. It runs the work around each job: online booking, scheduling and dispatch, estimates from a price book, invoices, and its own built-in payments, with customer financing and a customer portal. Higher plans add GPS tracking, QuickBooks Online sync and route optimization, and the pricing page lists further tools such as AI call answering, payroll and websites, saying add-ons are optional. It comes in three plans, billed monthly or annually, after a 14-day free trial. [17][2][13]
What is BuildWell?
BuildWell is an estimating and invoicing app for contractors doing remodels, repairs and the common trades, on iPhone, Android and the web. You describe a job by voice, text, photos or a floor plan; the AI plans the work and quantities, and every price comes from data: materials at stores near the job, checked within 30 days, and labor at the Bureau of Labor Statistics median wage for each trade in your metro, plus your overhead and markup. Clients sign on their phone, the estimate becomes the invoice, and clients pay by card or bank transfer at Stripe’s cost. It’s one plan at $7.99 a week or $79.99 a year after a 3-day free trial, and it doesn’t do scheduling, dispatch, CRM, payroll, time tracking, GPS or accounting. [18][5][7][9][12][1]
Feature by feature
Writing the estimate
Housecall Pro: Housecall Pro’s estimating page describes customizable templates with your logo, tiered options, service images from your price book, financing offers and sending by text or email, and proposals you send often can be saved for reuse. It says an approved estimate copies into a job without double entry. Its visual sales proposal tool is listed at $40 a month on Basic and Essentials and included on MAX. [4][2]
BuildWell: You describe the job by voice or text, add up to five photos or a floor plan, and BuildWell asks only the questions that change the price. It shows the plan of work in order first, then builds line items, each with its own labor hours and materials. Every quantity, hour and price is editable, and a revision keeps the original and is signed again. [5][18]
The difference: Housecall Pro estimates draw on a price book of services you reuse. BuildWell starts from a description of the job and plans the line items and quantities for you to review. [4][5]
Where the prices come from
Housecall Pro: Housecall Pro says every account includes a price book of services and materials. You can import from QuickBooks, Profit Rhino or a CSV or Excel file, and attach images. The estimating page describes a ready-made Profit Rhino price book based on industry averages, and the pricing page lists flat-rate pricing from Essentials up. [6][4][2]
BuildWell: Prices come from real local data. Materials are priced at stores near the job, checked within 30 days, and labor is the Bureau of Labor Statistics median wage for the trade in your metro, plus the overhead, markups, sales tax and permit fee you set. A material with no store price is flagged for you to confirm before sending. [5][18]

The difference: In Housecall Pro, prices come from the price book you or Profit Rhino set up. BuildWell prices each job from stores near it and local wages. [6][5]
AI tools
Housecall Pro: Housecall Pro’s help center describes an AI team, included with every account, that builds reports from your data, offers business coaching, writes marketing content such as emails and review replies, and helps with support. CSR AI, which answers calls and books jobs around the clock, is an optional add-on. Its estimating page says estimates can be created with AI, and its invoicing page says AI can generate invoice content. [15][4][16]
BuildWell: AI does the estimating: it reads your words, photos and floor plan, plans the work and picks quantities, and can revise the estimate after your edits without losing them. It also renders the finished room from a photo. BuildWell shares job details and photos with Anthropic, Google and OpenAI to do this, which you can turn off in your profile. [5][14]

Client approval and e-signatures
Housecall Pro: Housecall Pro says customers can approve an estimate and e-sign with a single click from their phone or email, and you can collect signatures on desktop or mobile. A customer portal lets them see past jobs, manage appointments, approve estimates and pay invoices. You can also require a deposit, which the customer pays as part of approving. [8][4][17][10]
BuildWell: Clients open the estimate in any browser, with no app or account, and accept and sign with a finger or decline; their name and signature print on it. Send the link by text or email, copy it, share the PDF, or collect the signature in person on your phone. Invoices can ask for a signature too. [7][9]

Invoices
Housecall Pro: Invoices carry your logo, and Housecall Pro says AI can generate their content. Its help center describes batch invoicing, which sends several invoices at once and collects batch payments, and auto invoicing, which emails customers on a set cadence for finished jobs not fully paid. It says it integrates with QuickBooks, and the pricing page lists QuickBooks Online sync from Essentials. [16][19][20][17][2]
BuildWell: A signed estimate becomes the invoice with the same lines, or you start one from scratch. Terms are due on receipt, 7, 14 or 30 days. You can record cash and check payments, void an unpaid invoice and attach job photos and renders. There’s no QuickBooks or Xero sync. [9][1]
Deposits and progress payments
Housecall Pro: Housecall Pro’s help center says a deposit can go on an estimate as a flat amount or a percentage, up to the full total, and the customer pays it as part of approving. Progress invoicing bills a job in stages by percentage or fixed amount, each with its own due terms, up to 100% of the job. It’s turned on in invoice settings, and the help center says to ask support if the setting is missing. [10][11]
BuildWell: Invoice any percentage of the estimate as a deposit, then progress payments, then the balance, each as its own invoice against the estimate. Every payment is recorded against its invoice, so you always see what’s paid and what’s left. [9]

The difference: Both take deposits and bill in stages. Housecall Pro can make the deposit a condition of approval; in BuildWell it’s its own invoice. [10][9]
Online payments and fees
Housecall Pro: Housecall Pro Payments is built into the platform. Its help center lists cards at 2.99% paid online from an invoice, 2.59% by card reader or Tap to Pay and 3.49% keyed in or on file; American Express and commercial cards are 3.49%, and bank payments are 1%. Card payouts take 2 business days and bank payments 1 to 2, or instantly with Instapay for an extra 1%; its payments page says Instapay typically takes 30 minutes. Tap to Pay is $5 per active device a month. [13][21]
BuildWell: Connect Stripe and clients pay by card or US bank account. Stripe’s fee is passed through at cost, 2.9% + 30¢ for a card and 0.8% capped at $5 for a bank transfer, with no BuildWell fee. You can also list Zelle, Venmo, Cash App, PayPal or check details to print on every invoice. [12]
The difference: Housecall Pro lists percentage-only card rates, while Stripe’s card fee adds 30¢ per payment. For bank payments, Housecall Pro lists 1%, and BuildWell passes through Stripe’s 0.8% capped at $5. [13][12]
Follow-up and reminders
Housecall Pro: Housecall Pro says it can automatically send follow-up reminders on estimates a customer hasn’t answered. Its help center describes Pipeline automations that send these by email or text, to match how the estimate went out; Pipeline is added to an account separately. Invoice reminders email customers once the due date passes with a balance owed, and you can charge a card on file instead. [8][22][2][20][16]
BuildWell: You see when the client opens the estimate and how many times, and get a notice when they accept, decline or pay. You can resend an estimate or invoice up to five times, so a client isn’t flooded. [7]

The difference: Housecall Pro can send reminders for you. BuildWell tells you when the client has looked, so you decide when to call. [20][7]
Devices, language and support
Housecall Pro: Housecall Pro’s pricing page lists free iOS and Android apps in English and Spanish, and its estimating page says signatures can be collected on desktop or mobile. Every plan includes live phone and chat support; its help center lists chat seven days a week and phone Monday to Saturday, from 5 a.m. to 5 p.m. Pacific on weekdays, plus Help AI around the clock. MAX adds a dedicated onboarding specialist and escalated phone support. [2][4][23]
BuildWell: One subscription, bought on the App Store, Google Play or the web, covers BuildWell on iPhone, Android and the web, in sync. iPhones with LiDAR can scan a room. The app works in English or Spanish and prints any estimate or invoice in either; support is by email from the support page. [3][24]
Scheduling, dispatch and running the team
Housecall Pro: This is Housecall Pro’s core. Its pricing page lists online booking, scheduling and dispatch, review management and job costing on every plan. Essentials adds routes, checklists, employee GPS tracking and commissions; MAX adds route optimization, recurring service plans and an open API. Payroll and accounting appear on the pricing page as separate tools. [2]
BuildWell: BuildWell doesn’t schedule, dispatch or track crews, and has no CRM, payroll, time tracking, GPS or accounting. It covers the estimate, the signature, the invoice and the payment, and projects keep each job’s estimates, invoices, photos and renders together. [1][14]

Housecall Pro’s pricing page lists each plan billed monthly or annually, with users included: one on Basic, five on Essentials and eight on MAX. Prices are in US dollars and exclude sales tax. When we checked, the page also showed a sign-up offer: $26 a month for the first month on Basic or Essentials, and $99 a month for the first three months on MAX. BuildWell is one plan at $7.99 a week or $79.99 a year, with every feature included. [2][1]
Housecall Pro’s pricing page says it doesn’t require long-term contracts and that add-ons and extra users are optional; its help center lists Tap to Pay at $5 per active device a month and CSR AI call answering as an optional add-on. Payment processing is charged per transaction. With BuildWell, Stripe’s fee comes out of each online payment at cost, and nothing else is added. [2][13][15][12]
The verdict
Housecall Pro runs a home-service company, from booking and dispatch to invoices and payments. BuildWell does one part of that, pricing a job, getting it signed and getting paid, and prices remodel and repair work from local data. Which suits you depends on whether you manage a schedule and a team or mostly price and bill one-off jobs. [17][2][5][7][9][12]
Choose Housecall Pro if…
Choose Housecall Pro if you run a home-service business with techs to schedule and dispatch, sell from a set service menu or flat-rate price book, and want online booking, customer financing and live phone and chat support in one system, with GPS tracking and QuickBooks Online sync from Essentials. [2][6][23]
Choose BuildWell if…
Choose BuildWell if you’d rather describe a remodel or repair and get it priced: work and quantities planned by AI, materials at stores near the job and labor at local wages, then signed on the client’s phone, invoiced in stages and paid at Stripe’s cost, for $7.99 a week or $79.99 a year. It doesn’t schedule or dispatch, so a team that needs that will want another tool alongside it. [5][18][7][9][12][1]
