What is Handoff?

Handoff is an AI estimating and project platform for residential construction; its site names home builders, remodelers, and trade contractors and handymen as the businesses it serves. Its AI builds estimates from a scope, photos, plans or voice notes, priced, Handoff says, from supplier catalogs and local labor rates, and the job runs through proposals, e-signatures, change orders, milestone invoices and online payments. Higher plans add project management, scheduling, daily logs and time tracking; the top plan adds AI takeoffs and a subcontractor portal. What is BuildWell?

BuildWell is an estimating and invoicing app for contractors doing remodels, repairs and the common trades, on iPhone, Android and the web. You describe a job by voice, text, photos or a floor plan; the AI plans the work and quantities, and every price comes from data: materials at stores near the job, checked within 30 days, and labor at the Bureau of Labor Statistics median wage for each trade in your metro, plus your overhead and markup. Clients sign on their phone, the estimate becomes the invoice, and clients pay by card or bank transfer at Stripe’s cost. Writing the estimate

Handoff: You type or talk through the scope, or upload a photo, floor plan or other file, and Handoff drafts the estimate. It can be organized room by room, with labor and materials apart and markups at each level. Describe a change, edit a line or add a file, and totals recalculate. Site walkthroughs, meeting recording and AI material lists come with Pro and Scale. [6][2]

BuildWell: You describe the job by voice or text, add up to five photos or a floor plan, and BuildWell asks only the questions that change the price. It shows the plan of work in order first, then builds line items, each with its own labor hours and materials. Every line, quantity, hour and price is editable, and a revision keeps the original and is signed again. [5][15]

Where the prices come from

Handoff: Handoff says its costs come from supplier catalog integrations and labor rates it tracks nationally, updated daily and localized to the project’s US location, with past residential estimates and ZIP-level costs behind the AI. You add your own rates through custom pricing catalogs (one on Flex, unlimited on Pro and Scale), presets and markup rules. [2][3]

BuildWell: Prices come from real local data. Each material is priced at a store near the job, checked within the last 30 days, and labor is the Bureau of Labor Statistics median wage for that trade in your metro, plus the overhead, markups, sales tax and permit fee you set. A material with no store price is flagged for you to confirm before sending, and prices you type are saved. [5][15]

The difference: Both describe pricing from outside data and let you set your own markup. Handoff’s site describes supplier catalogs and labor rates alongside your saved catalogs and presets; BuildWell prices from nearby stores and BLS wages, keeps the AI out of pricing and flags any gap. [2][3][5]

AI tools

Handoff: Beyond estimating, Handoff’s pricing page lists AI renderings from photos and voice notes turned into job details on every plan. Pro and Scale add site walkthroughs, meeting recording, scopes of work and material lists. Scale adds AI takeoffs from residential plans up to 5,000 sq ft, plus API and MCP access. Each AI interaction uses a credit: 50 a month on Flex, unlimited above. [2]

BuildWell: AI does the estimating: it reads your words, photos and floor plan, plans the work and picks quantities, and you can ask it to revise after your own edits without losing them. It also makes before-and-after renders of the finished room from a photo. BuildWell shares job details and photos with Anthropic, Google and OpenAI to do this, which you can turn off in your profile. The difference: Handoff’s pricing page lists more AI tools, from takeoffs to meeting recording, with more of them on higher plans. BuildWell’s AI is focused on the estimate and renders, all in one plan. [2][5][1]

Client approval and e-signatures

Handoff: Every plan can send estimates, proposals and invoices for signature and shows when a client opens, views or approves a proposal. Change orders go out like proposals, and you can require a client signature and attach photos. Pro and Scale add a client portal for documents, approvals and invoices. Scale proposals add your branding, up to 5 estimate options and client feedback. [2][12]

BuildWell: Clients open the estimate in any browser, with no app or account, and sign with a finger or decline; their name and signature print on it. Send by text or email, copy the link, share the PDF or collect the signature in person. Invoices can ask for a signature too. [7][8]

Invoices and change orders

Handoff: An approved proposal converts to an itemized invoice, billed by scope or line item, with discounts, taxes or credits and photos, videos or PDFs as proof of work. Standalone invoices work too. Handoff describes change orders as AI-built mini-estimates showing what changed, with payments collected through the platform; it notes that payment terms vary by plan. BuildWell: A signed estimate becomes the invoice with the same lines, or you start one from scratch. Terms are due on receipt, 7, 14 or 30 days. You can record cash and check payments, void an unpaid invoice and attach job photos and renders. A changed job is handled as a revision that keeps the original and is signed again. [8][15]

Deposits and progress payments

Handoff: Milestone invoicing is on every plan. The payment schedule sits in the proposal, so clients see it before signing; each entry, such as a deposit, is a percentage or fixed amount due on completion, at a milestone or on a date. Partial and manual payments, including cash and checks, are logged against it. Pro and Scale add client financing through Acorn Finance. [2][9]

BuildWell: Invoice any percentage of the estimate as a deposit, then progress payments, then the balance, each as its own invoice. Every payment is recorded against its invoice, so you see what’s paid and what’s left. [8]

The difference: Both bill in stages. Handoff sets the schedule in the proposal up front and adds financing on higher plans; BuildWell builds each stage from the signed estimate. [9][2][8]

Online payments and fees

Handoff: You apply for a merchant account in Handoff’s settings, through its payment partner Rainforest, and clients pay by card or ACH bank transfer. Per the pricing page, card fees are 3.35% on Flex and 2.85% on Pro and Scale, ACH is 1% capped at $10, and both are covered by the client. The same page lists card payouts in 3 business days on Flex and 1 on Pro and Scale, and ACH in 2. [16][2]

BuildWell: Connect Stripe once and clients choose card or US bank account on the invoice page. Stripe’s fee is passed through at cost, 2.9% + 30¢ for a card and 0.8% capped at $5 for a bank transfer, and BuildWell adds no fee of its own; it comes out of the payment. You can also list Zelle, Venmo, Cash App, PayPal or check details on every invoice. [10]

The difference: Handoff’s pricing page says the processing fee is covered by the client. With BuildWell the client pays the invoice amount and Stripe’s fee comes out of what you receive. [2][10]

Follow-up and notifications

Handoff: Handoff shows when a client opens, views or approves a proposal, on every plan, and describes automated follow-up to keep leads moving. It alerts you to approvals, change orders, payments and milestones, and invoices can be scheduled to send later. [2][6][3][9]

BuildWell: You see when the client opens the estimate and how many times, and get a notice when they accept, decline or pay. You can send an estimate or invoice up to five times, so a client isn’t flooded with messages. [7]

Projects, scheduling and accounting

Handoff: Handoff’s pricing page lists QuickBooks Online sync on every plan, with estimates and payments syncing both ways, and its site describes tracking leads and clients. Pro and Scale add project management, scheduling, daily logs, budget tracking, custom roles, time tracking with geofencing, and Google Calendar, MagicPlan and Zapier connections. Scale adds a subcontractor portal for bids that needs no extra seat. [3][2][13]

BuildWell: Projects hold a job’s estimates, invoices, photos and renders, and the AI reads the photos you add. BuildWell doesn’t do scheduling, dispatch, CRM, payroll, time tracking, GPS or accounting, and doesn’t sync with QuickBooks or Xero. [11][1]

The difference: Handoff’s plans list project, scheduling and accounting tools that BuildWell doesn’t have. BuildWell suits a contractor who keeps scheduling and books elsewhere. [2][1]

Handoff: Templates shape proposals, documents and change orders, built by hand or with AI; the help center says they’re fully available on Pro plans. Handoff runs in the browser and on iOS and Android on every plan. Support by email, live chat and phone is on every plan, with standard onboarding on Flex and a dedicated coach on Pro and Scale.
