Job costing
Job costing is tracking the actual costs of each job, by category, and comparing them with the estimate to see where money was made or lost.
For each job, record labor hours and burdened labor cost, materials, subcontracts, equipment and other direct costs as they happen. Use the same categories as your estimate, so you can compare line by line.
Job costing answers questions your overall profit and loss statement can’t: which kinds of jobs make money, which crews run over on hours, whether your material quantities are accurate, and how much change orders really added.
The hard part is discipline. Tag every receipt and timecard to a job when it happens, not at month end. Put a job number on purchase orders and supplier invoices. Even a spreadsheet works if it’s updated weekly.
Review each finished job the week it closes. Note what ran over and why, and adjust your unit costs and production rates before the next estimate. Over time your estimates get closer to your actual costs, and that’s where steady profit comes from.
