Privacy Policy

This Privacy Policy explains how Sera Studios LLC ("Sera Studios," "we," "us," or "our") collects, uses, shares, and protects information when you use the BuildWell mobile app (the "App"), the web pages we host for your clients (such as estimate, signature, and invoice pages), and buildwellapp.com (together, the "Services").

BuildWell helps contractors write estimates, send them to clients, and turn them into invoices. The App uses AI and local retail pricing to draft estimates from your job descriptions, answers, and photos.

The short version: we collect what we need to run your estimates and invoices. Job details you choose to run through AI are sent to our AI providers, and only after you allow it. We never sell your personal information for money. If you let us, we use an ad-attribution partner to see which ads bring in new users, and you can turn that off at any time. You can delete your account from inside the App.

1. Information We Collect

Information you give us

Account information: your name and email address, and a sign-in identifier from Apple or Google if you sign in with them. If you use Sign in with Apple and hide your email, we receive Apple's relay address instead.
Business profile: business name, logo (uploaded or AI-generated), license number, business address, phone, email, website, your signature, document styles and terms, default markups, and the payment instructions you want shown to clients (for example a Zelle, Venmo, or PayPal handle).
Job information: job descriptions (typed or dictated), answers to scoping questions, job photos, plans or blueprints you upload, room measurements from a LiDAR room scan, notes, estimates, projects, invoices, and payment records you log.
Client information: names, email addresses, phone numbers, and job site addresses of your clients, entered by you or added from your phone's contacts. You are responsible for having the right to add and use this information.
Support messages: anything you send us when you contact support.

Information from device permissions

Each permission is optional and asked for only when you use the feature. You can change them at any time in your device settings.

Camera and photo library: to photograph a job or attach existing photos.
Microphone and speech recognition: to dictate a job description. Speech is transcribed on your device. We receive the resulting text, not the audio.
Location (while using the App): to find your ZIP code so estimates use local prices. Your coordinates are turned into a ZIP code on your device, and we store the ZIP code, not your precise location. You can enter a ZIP code yourself instead.
Contacts: to add clients from your contacts. Only the contacts you choose to add are saved to BuildWell.
Notifications: to tell you when a client views, accepts, or pays.
Tracking (iOS App Tracking Transparency): see Section 5.

Information collected automatically

Device and app data: device model, operating system, app version, language, time zone, IP address, and app and device identifiers.
Usage data: the screens you view and actions you take in the App, collected through product analytics. This can include session replays, which are recordings of how the App's screens were used. Text you type into fields is masked in session replays. Other content on screen, such as job photos, may appear in them.
Diagnostics: crash reports, error logs, and performance data.
Attribution data: information about the ad or link that led you to install BuildWell (see Section 5).

Information from your clients

When a client opens an estimate or invoice you send, we record that it was viewed. If the client accepts, declines, or signs, we collect the name they enter, their drawn signature, and the time. If they pay online, Stripe processes the payment and tells us its status. We never receive their full card or bank details.

Information from other companies

Apple and Google: sign-in details, and subscription status from Apple's App Store (through our subscription provider).
Stripe: whether your payout account is set up and able to accept payments, and the status of client payments.
Our attribution partner: the campaign or referral link associated with your install.

2. How We Use Information

To create, price, store, and send your estimates, invoices, and other documents.
To look up local material prices for your ZIP code.
To run your account, subscription, free trial, and referrals.
To host the pages where your clients view, accept, sign, and pay.
To send notifications you have turned on.
To provide support and respond to your requests.
To understand how the App is used, fix bugs, and improve the App, including the quality of our estimates. For example, we look at how contractors edit AI-drafted line items.
To measure which ads and referral links bring in new users (only with your permission where required).
To prevent fraud and abuse, enforce usage limits, keep the Services secure, and comply with the law.

3. AI Processing

BuildWell uses third-party AI providers to draft estimates, ask scoping questions, read plans, create before-and-after renderings, and generate logos. Before any of your job information is sent to an AI provider, the App asks for your permission. You can turn AI data sharing off at any time in Profile → AI data sharing. This stops new AI work. Your saved documents, manual edits, and invoices stay available. Information already sent to a provider cannot be recalled.

Depending on the feature, we send the job photos you select, plans you upload, job descriptions, answers, edited scope, material details, and business details needed for a logo to:

Anthropic (Claude models), for estimating and scoping;
Google (Gemini models), for estimating, scoping, questions, and logo generation;
OpenAI, for reading plans, before-and-after renderings, and image generation.

Before we send photos to an AI provider, we resize them and remove embedded location (GPS) data. These providers process the information to return results to us under their business terms. Please don't put sensitive personal information in job notes or photos. AI output can be wrong, so review quantities, materials, and prices before you send anything to a client.

4. How We Share Information

We do not sell your personal information for money. We share information only as described below.

Service providers

These companies process information on our behalf so we can run the Services:

Supabase: database, sign-in, and file storage (including photos and PDFs).
Railway: hosting for our servers.
Anthropic, Google, and OpenAI: AI processing, as described in Section 3.
SerpApi and BigBox: retail price lookups. We send material searches and a ZIP code or store, not your name or client details.
Stripe: online invoice payments and contractor payout accounts. When you set up payouts, you give information directly to Stripe under Stripe's terms and privacy policy.
RevenueCat and Superwall: subscription management and the subscription screen.
PostHog: product analytics, feature flags, and session replay.
Sentry: crash and error reporting.
AppsFlyer: install attribution and ad measurement (see Section 5).
Google Ads: ad measurement on our website and web app (see Section 5).
Expo: app updates and push notification delivery.
Esri (ArcGIS): map images shown during setup, using your approximate area.
Google Workspace: email, including support.

Your clients

When you send an estimate or invoice, your client can see what is on it, such as your business details, the line items and prices, and your payment instructions.

Other situations

Legal requirements: when required by law, court order, or a government authority, or to protect the rights and safety of our users, the public, or us.
Business transfers: as part of a merger, acquisition, financing, or sale of assets. Information would stay subject to this policy.
With your direction: when you ask us to share something.

5. Ad Measurement and Tracking

We run ads to reach contractors and use AppsFlyer to learn which ads and links lead to installs, sign-ups, and subscriptions. On iOS, we only access your device's advertising identifier (IDFA) or link your activity with data from other companies' apps and websites if you allow tracking in the App Tracking Transparency prompt. You can change this any time in Settings → Privacy & Security → Tracking. If you don't allow tracking, we still use privacy-preserving attribution that Apple provides (such as SKAdNetwork) and aggregated measurement, which does not track you across apps.

On our website and web app, we use Google Ads tags, which set cookies to learn which ads lead to visits, sign-ups, and subscriptions. When you subscribe on the web, we send Google a hashed (scrambled) copy of your email address so it can match the subscription to the ad you saw. You can block these cookies in your browser or turn off personalized ads at adssettings.google.com.

Under some U.S. state laws, sharing data with an ad-measurement partner can count as "sharing" for cross-context behavioral advertising or "targeted advertising." You can opt out by declining tracking on your device or by emailing us at Admin@Buildwellapp.com with the subject "Do Not Share." We do not use third-party ad networks to show ads inside the App.

6. Data Retention

We keep your account information, estimates, invoices, clients, and files while your account is active.
Estimates and invoices you delete go to Recently Deleted for 30 days so you can restore them, and then they are permanently deleted.
Temporary AI working data is deleted within 30 days.
When you delete your account, we delete your account data and stored files. We keep records of payments made through BuildWell for the period needed for tax, accounting, fraud prevention, and payment dispute purposes, and then delete them. Copies in backups are removed on their normal schedule.
Analytics and diagnostic data are kept for the periods set by those providers.

7. Your Choices

Delete your account: in the App, go to Profile → Delete account. If you signed in with Apple, we also revoke BuildWell's access to your Apple ID. Deleting your account does not cancel an App Store subscription. Cancel it in your Apple ID settings.
AI data sharing: Profile → AI data sharing.
Tracking: your device's tracking settings (Section 5).
Permissions and notifications: your device settings.

8. Your Rights

Depending on where you live, you may have the right to access, correct, delete, or get a copy of your personal information, to opt out of targeted advertising or "sharing," and to appeal a decision we make about your request. To use these rights, email Admin@Buildwellapp.com. We will verify your request and respond within the time required by law. We will not discriminate against you for using your rights. An authorized agent may make a request for you where the law allows.

California residents

In the past 12 months we collected the categories of information described in Section 1: identifiers, customer records, commercial information (such as subscriptions and invoices), internet or other electronic activity (usage and diagnostics), approximate geolocation (ZIP code), audio or visual information (photos), and professional information (business profile). We use and disclose them for the purposes in Sections 2 through 5. We do not sell personal information for money. We may "share" identifiers and usage data with our ad-measurement partner as described in Section 5, and you can opt out as described there. We do not collect sensitive personal information for the purpose of inferring characteristics about you.

Clients of BuildWell users

If you are a client of a contractor who uses BuildWell, the contractor controls the information about you in their account. Please contact the contractor first. You can also contact us and we will help where we can.

European Economic Area and United Kingdom

We process information to perform our contract with you, for our legitimate interests (securing and improving the Services), with your consent (such as device permissions, AI data sharing, and tracking, which you can withdraw), and to meet legal obligations. You may also complain to your local data protection authority.

9. International Transfers

We are based in the United States, and our service providers may process information in the United States and other countries. Where required, we use appropriate safeguards such as standard contractual clauses.

10. Security

We use reasonable technical and organizational safeguards, including encryption in transit, access controls, and signed, expiring links for documents. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

11. Children

BuildWell is a business tool for adults. It is not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, contact us and we will delete it.

12. Changes to This Policy

We may update this policy. If we make material changes, we will let you know in the App or by email before they take effect. The effective date above shows when this policy was last revised.
